AutoInspect Module Improves Workflow

Would you like to be able to do vehicle inspections from your cell phone or an Android or iPad tablet? Our optional AutoInspect addon module allows you to scan license plates, do pre-inspections with photos and videos, and get your Work Order started before ever sitting down at a computer. These customizable inspections can be emailed or texted to your customers, and used to create recommended services inside AutoFluent®. You can do all this, and even view the contents of existing work orders, from any device with a web browser! Keep reading to learn more about this much requested feature.

The first page you will see when signing in to AutoInspect contains a list of all of your open Work Orders sorted by time started, similar to the AutoFluent® sales entry window. At the very top and center, you have the option to search for Work Orders by vehicle or customer information. Clicking one of these Work Orders will open its inspection form, allowing you to perform a new inspection or modify an existing one. If there is no Work Order yet, click the orange ‘+’ button to start a new Inspection and Work Order.

Creating a new Inspection and Work Order

Upon choosing to start a new Inspection and Work Order, you will first be prompted to select a vehicle. Your options are to search for an existing license plate or VIN, add a new vehicle, or press the camera icon to take a photo of a license plate. All options will allow you to fill in additional information about the vehicle, such as the engine and color. AutoInspect allows you to conveniently lookup a license plate or VIN with CarFax by pressing the black “C” button. After saving or selecting a vehicle, you will be prompted to select a customer or create a new one, if the vehicle is not already linked to a customer.  When selecting a customer, you can search based on their info such as name or phone number, or you can choose to add a new customer. Once you have a vehicle and a customer, you are taken to your Work Order and Inspection sheet.

Inside an Inspection

At the top of the Inspection page, you can change the vehicle or customer. Just below that, you can set certain Work Order information, such as sales rep, mechanic, and odometer reading. There is an expandable section for “Work Order Lines”, where you can see lines that were added from AutoFluent®, and add comments to the Work Order. Below that you will find a list of different inspection forms. You can create and save your own inspection forms from within AutoFluent®. 

To fill out the inspection, indicate the severity of any issues using the green, yellow, or red faces, or use a question mark for items that do not apply, or are not inspected. You’ll also be able to type in specific details found during the inspection, and add pictures and video! 

Saving / Sending

Most importantly, you will be able to immediately share your inspection with your customer via email or text to keep them informed. After clicking the orange Save button, four options will appear. Here you can print the inspection, or use the Email or Text options to send it to your customer. Finally, there is the “Create Recommended Services” button, which will create recommended services from the problematic inspection items. These recommendations can either be items or packages. Later, you can open the Work Order from AutoFluent® and add additional parts, labor, and so on to these Recommended Services.  If the customer chooses to do the service, it can be merged into the Work Order.  Otherwise, an email is scheduled to be sent to them at a later date to remind them to come in and get the service done.
